SYSTEMS REVIEW

I was working with a company recently and I said they should consider using a customer relationship management (CRM) system to manage their pipeline. They responded "I have no idea what that means". It made me think, not all businesses understand there are systems out there that can do almost everything for you, if you invest enough time and money into it. I worked at this company initially before coming back to consult with them. When I started, all scheduling was done on a paper notepad, and they did not have the capacity to do any more work for that reason. I researched scheduling tools and then found something that could automate the scheduling process, saving the director eight hours a week, whilst improving the service through increased reliability and capacity. Years later, they now manage four times as many sites on the same system.


An internal systems review involves: 


  • Understanding current operational processes
  • Looking at growth plans for the future and the demand placed on the processes
  • Researching tools to help improve productivity and find efficiencies 
  • Understanding the IT literacy of managers and staff


Once the review is complete, I will write up a report and present it to management. Recommendations may include...


  • Implementing time tracking software to measure billables and productivity
  • Using project management tools to hold teams to account and ensure work is completed on time
  • Adopting CRM systems to handle business development and account management pipelines
  • Creating an intranet to better communicate company policy and news to staff
  • Exploring new HR systems to manage employee and sub-contractor files
  • Adopting AI tools into business practices.
